01 / ACCEPTANCE FIRST
Check acceptance before arranging transport
A piece can still be useful and be unsuitable for a particular donation location. Start with the organization you want to support and ask about the actual items, their condition and their size.
Describe any stains, damage, missing parts or strong odors honestly. A photo can help staff answer a question, but the organization may still need to inspect the item when it arrives.

BEFORE ARRANGING PICKUP
Make the acceptance call useful
A USEFUL EXAMPLE
For example, you might ask: “I have a dining table and four chairs in good condition. One chair has a loose joint. Can you take the set, and would photos help?”
Then ask where to deliver it, when donations are received and whether you need an appointment. Store opening hours and donation receiving hours can differ.
Keep the answer with your item list. If only some pieces are accepted, separate them from the items that still need another plan.
02 / PREPARE YOUR ITEMS
Prepare the items to be used again
Keep cushions, shelves and other included parts together. Clean the items as appropriate for their materials, and keep them dry and protected until pickup.
Clear small obstacles from the route. Leave heavy or awkward pieces in place if moving them yourself would be unsafe.
Furniture protected and secured inside a Moving Pros truck.
IF PLANS CHANGE
If an item is declined
Choose the next option
Pause before booking transport for it. Ask whether another receiving location might accept the item, or whether a repair would make a difference. Get a new acceptance answer rather than assuming another branch has the same rules.
Keep other options separate
For a usable piece, selling it or giving it directly to someone may be another option. If it cannot be reused, check the appropriate local disposal route separately. Do not leave it at a closed donation site.
Agree any transport change
If a pickup is already arranged, tell the person transporting it about any change before the trip. A second destination or return journey needs to be agreed.
03 / THE HANDOFF
Confirm the handoff
Arrival and access
Keep the receiving address, arrival arrangements and accepted item list together. Check who will provide access at pickup and whether the destination has unloading instructions.
Acceptance and paperwork
Ask the receiving organization how it provides a donation receipt if you need one. The mover transports the items; the organization controls acceptance and donation documentation.
